QR Codes in Event Marketing: Before, During & After the Event

Events are three campaigns, not one

Every event is really three marketing windows: the weeks before (fill the seats), the hours during (capture the room), and the days after (convert the attention). QR codes work all three — and because printed codes can be dynamic, the same poster can serve each phase with different content.

Before: fill the seats measurably

  • Registration QR on every poster, insert and social creative — one dynamic code per placement tells you which college notice board or newspaper insert actually sells tickets.
  • Add-to-calendar QR on confirmations and invites — an event in the phone's calendar with a reminder beats an email nobody reopens (our event QR encodes it offline).
  • Early-bird payment QR — a UPI code with the discounted amount collects registrations at stalls and desks without a payment-gateway signup.
  • Speaker/artist promo — each personality shares their own code; scans per code = whose audience actually showed up.

During: capture the room

  • Agenda & venue map behind a document QR at entry — update the PDF when timings slip; every printed standee stays correct.
  • WiFi QR at seating — the most appreciated code in any hall.
  • Live Q&A / polls — a URL QR on the stage screen beats reading out links.
  • WhatsApp community join — 'Scan to join the attendees group' converts a one-day crowd into a channel you own.
  • Feedback QR at exits — satisfaction peaks as people leave; a 30-second form catches it.

After: the follow-up most events skip

Repoint the registration code (it's dynamic) at the post-event page: photos, recordings, certificates, next-event early bird. Everyone who saved or screenshotted your poster now lands somewhere useful instead of a dead form. Certificates behind a document QR are a quiet masterstroke — attendees share them, carrying your branding to their networks.

The measurement habit

Name every code by placement ('Gate-2 standee', 'Insert-North-Edition'), check scan statistics the morning after each phase, and write down what you'd print differently. Two events of this habit and your print budget starts flowing only to surfaces that scan. Our events use-case page has the quick-start kit.
